Ensuring Supporting Documents are Confidential!

For those of you using FAST JV, Web Req and/or Budget Transfers, there is an important, but often overlooked feature that allows you to ensure that any supporting documents you upload remain Confidential! In other words, they won’t be shared with other systems or flow through to the documents page in FAST Finance Reporting! Confidentiality is a big deal – make sure you know exactly what is going to show up and who can see it!

This can be crucial if those documents are sensitive in any way! You can opt to make all document uploads confidential or just pick and choose depending on the type of document being included.

As an Administrator, you can also pre-define the default for your Application by setting Configuration Setting #1338. End users can still override this setting by selecting (or de-selecting) the indicator.

Schedule it and leave the rest to FAST!

We know you love your Pinned Reports….who doesn’t? But are you making use of the Report Scheduler yet? Once you create your own Pinned Reports, you can schedule them to deliver, right to your e-mail in-box at any interval you decide! That means you don’t even have to remember to “run” that report to get your hands on that data when you need it.

Here’s the skinny on how it works:

  1. Save your Pinned Report (as private)
  2. Click “Schedule”
  3. Choose a delivery schedule!
  4. You can pick everything from:
  • Frequency (Daily? Weekly? Twice a week? Monthly? Quarterly?)
  • Time of day
  • Duration (A couple weeks? A couple months? Till the end of the year? Forever and beyond?)
  • The format – choose from PDF, Excel or CSV
  • Hit GO and leave the rest to us

Nothing could be simpler! When you’re done, click on your “My Schedule” Tab to check out your delivery schedule at-a-glance and then just sit back and wait for those reports to start rolling in.

The rumours are true…. Virtual Columns are now available!

You can now create “virtual” columns at either the individual level or even at a global level for all end users of the report! This gives you the amazing ability to add one or more NEW columns to your report results! Just think of the possibilities:

  • Concatenate two or more columns in the report quickly into ONE
  • Create a formula based on existing column data…something like:
    • Column C \ Column F – Column B = BRAND NEW USEFUL COLUMN X
  • Duplicate an existing column to display it a second time and/or use Virtualizations to render it as a visual icon or image

The possibilities are endless and the power is amazing! Customize your report, YOUR way.

Here’s a quick run-down (but be sure to check out the detailed training videos for a way more thorough explanation!):

  1. Make sure you are running 4.3.06 or higher – if you’re not, what are you waiting for?
  2. Run your report
  3. Click the GEAR button on the top left hand corner of your report:

  1. Click + to add a new column
  2. Fill in the Virtual Column worksheet to define the parameters of your new column including title, width, format, and of course the formula. The formula is the trickiest part, so be sure to ask for help if you need it!
  3. Click SAVE and the report will re-execute with your new Virtual Column right where you want it!

Best part is, you can still use any of the Advanced Options, Grouping features, Pinned Reports, Graphing and more to refine, aggregate or modify your new report data!

How about changing it?

If you are an application administrator, did you know that you can do this yourself  and on a global level? Here’s how:

  1. Locate the Report and find the Administration Tab (note: this is probably under your + More tab)
  2. The first tab, called Datagrid Columns lists all the current columns in this report.
  3. Locate the column title you wish to change; change the text right on this page! – the cell is case sensitive and if you need to make it slightly wider or more narrow, just change the “width” column right next to it!
  4. Click Save and update changes.

Re-run the report – it is now changed for all end users who run this report!

Insights for Registrars and Admissions Officers from PACRAO 2016

Registrars and admissions officers gathered last week at the annual PACRAO conference in Las Vegas, NV and we were fortunate to be able to deliver a presentation around using technology to better report, forecast, and analyze admissions and enrollment numbers.

While we were there, we picked up on some major themes that we thought would be valuable to share:

 1. The need for a single “system of record” for admissions and enrollment numbers

There was quite a bit of discussion about not only consolidating data from multiple sources so that there was a single set of information but how to share and collaborate around that data.  Our FAST reporting and analytics software provides the single view into the data as well as makes it easy to share on a scheduled basis.

2. Think about competencies and skills vs. job titles when building your organization

Rather than staffing for a role or job description, think about the skills and competencies needed to perform the job well as a starting point. Once defined, then seek out candidates with those skills or develop put a plan in place to develop them in existing staff members.

3. Systems should support workflow

Take a look at how you are doing your work and where current systems are creating extra steps or inefficiencies.  Rather than focus on data entry, spend time looking into what the data tells you – trends, comparisons, and insights.  Our FAST reporting and analytics software enables this by accessing existing data in your administrative system and providing pre-configured views so you can “look beyond the numbers.”

Here’s what’s on the mind of higher education administrators

Higher education administrators and business officers gathered October 12-14 at the 9th annual International Millennium User Conference in Vancouver to focus on how they are using reporting and analytics to make better financial and operational decisions.

We wanted to share some of the core themes and insights discussed during the event:

1. Taking existing reporting systems and turning them into true executive dashboards

Administrators using Millennium’s FAST reporting and analytics software benefit from access to the information they need when they need it. With that now in place, they are increasingly interested in providing views into the data across the organization for better decision-making.

2. Using data for longer term trend and scenario analysis

With access to data, there is now the ability to do more trend and scenario analysis. This “what if” modeling helps with building the longer-term plan which was also the theme of this year’s annual NACUBO event in Montreal.  Administrators and business officers can now make informed decisions based on the data vs. just answering questions.

 3. Supporting new ways of communicating with students

Text messaging is increasingly the preferred method of communication by students and higher education institutions are struggling to communicate this way at scale.  Institution-to-student and faculty-to-student communication is something we have deep experience around and we’ll be applying what we’ve done with email to text messaging.  More to come on that soon!

Do you use the same transaction or workflow approvers over and over again?

Let’s simplify things a little!

Did you know you can tag them as “faves” on the Approval page so you don’t have to keep searching for their Employee ID’s every time?

The best part is, tag them ONCE and they maintain as long as you need! AND if you use the same approver in FAST Budget and Forecasting, JV and Web Req, they’ll automatically carry over to your other apps!

The process is simple:

  1. Click on “send for approval” in whatever application you’re working in
  2. Locate your approver using the search box or typing in their Employee ID
  3. Once you find him/her, click the yellow STAR button next to the name
  4. Never search again! Next time you need to send for approval, just click from your list of TAGGED approvers.

You can also tag as many as you like if you use more than one on a regular basis!

The best part is, this is your one-stop shop for not just all the latest and greatest new FAST features but you can also brush up on some of the classic tools that you may not use every day. The videos are short & sweet (5 minutes or less) and cover one key feature or concept in FAST! Most of the videos are module neutral which means you can apply the tips and tricks to any FAST application.

We have tons of topics to choose from and update the video content monthly to correspond with our new release schedule! There is also a dedicated tab to cover all of the “admin” features in FAST!

How to use Column Level Filters

We know you love your reports but do you ever wish you could tweak them just slightly? Have you tried using the Column Level Filters yet? If not….you haven’t lived! Ok maybe a slight exaggeration.

Now here’s what you need to know:

  1. Run a report of your choosing (I would pick one for you but there are just too many that I love!)
  2. Choose a column that you want to modify
  3. Click on the Column Header (right on the title will work…and NOT a right-click!)
  4. A column level toolbar will display!

Here are your choices (because unless you’re a Pisces like me, you LOVE choices!):

  1. Apply a Column Level Custom Filter to further refine your results
  2. Sort your column ascending or descending
  3. Plot your column as an X or Y axis for your soon-to-be awesome graph!
  4. Hide your column (if you decide you don’t really like it that much after all)
